Equipment Care Guide

Learn how to properly care for your rental items from The Flawless Table & Co.

Follow simple guidelines to keep equipment in excellent condition and help prevent cleaning or damage fees.

​

1. General Care (All the equipment, Decor & Linens)

  • Must be installed on a straight, level surface.

  • For cleaning, use only a wet rag with water, no chemicals or cleaning products.

  • Do not use tape, double-sided tape, glue, nails, screws, staples, or command hooks, zip ties, wire.

  • Please ensure all equipment is clean before pick-up. Do not leave marks of dust, dirt, mud, grass, dog hair, liquid or food.

  • Do not use pens, scissors, inks, or permanent markers on or near the equipment. Any non-removable marks will result in additional charges.

  • Place chairs close to the tables and cover them at the same time as the tables using the provided protective covers.

Champagne Wall

  • Once installed, do not transfer or move. (Heavy equipment).

  • Do not drag the equipment

  • Do not stand on the wood boxes.

  • Clean shelves after use, no not leave sticky champagne.

  • Please turn off sprinklers the night before the event to ensure the ground (grass or dirt) is completely dry. 

  • Keep sprinklers turned off until the rental equipment has been picked up.

  • In case of rain or bad weather cover the champagne wall with plastic bag and disconnect neon sign (outdoor).

  • Overnight, never leave equipment outside the closed facility. (Not in public access).

 

Champagne Glasses & Disposables  

  • Real glass flutes: Washing is not required, but please ensure they are completely dry before pickup.

  • Please remove all disposable flutes and client decorations after the event.

  • Please leave real glasses empty as originally set up for Pick Up.

Seating Chart Mirror & TF Decor

  • Once installed, do not transfer or move. (Delicate equipment).

  • Do not remove, reposition, or peel off seating chart cards or wax seals.

  • Turn off LED (fake) candles when not in use.

  • If weather conditions become unsafe (rain or wind), please bring the setup indoors

  • Please leave TF. décor items as originally set up for Pick Up.

Cocktail Tables

  • Once installed, do not transfer or move. (Heavy equipment).

  • Do not stand or sit on tables.

  • Protect from direct sun exposure when not in use by using protective covers.

  • Use table runners, linens, or removable décor only.

  • Use only LED (fake) candles or enclosed candles (in glass holders).

  • Wax damage will require professional cleaning or refinishing.

  • Please remove all food, liquids, plates, and client decorations after the event.

  • Fully cover all tables to protect from rain, making sure the protective covers reach the ground. Secure them by tying or weighting them to prevent movement from wind.

  • Do not roll or spin the tabletop.

  • Do not let tables fall or drop.

  • Carry carefully and place gently onto the base.

  • Handle all equipment with care.

 

Linens

  • Linens may need to be steamed or ironed before use.

  • After the event, fold linens neatly and have them ready for pick up

Cross Back Chairs

  • Do not drag chairs, please lift when moving.

  • When moving chairs, always lift and carry them by the seat. Do not lift or carry chairs by the delicate wooden cross back.

  • Do not stand on chairs.

  • Do not attach decorations using tape, glue, staples, nails, or adhesives.

  • Do not leave chairs outside overnight. Instead, place them in a secure, covered area (such as a garage).

Farmhouse Tables

  • Once installed, do not transfer or move. (Heavy equipment).

  • Do not stand or sit on tables.

  • Protect from direct sun exposure when not in use by using protective covers.

  • Use table runners, linens, or removable décor only.

  • Use only LED (fake) candles or enclosed candles (in glass holders).

  • Wax damage will require professional cleaning or refinishing.

Foldable Tables

  • Do not roll Round tables.

  • Do not drag tables, please lift when moving.

  • Do not stand or sit on tables.

 

White Resin Chairs

  • Do not drag chairs, please lift when moving.

  • Do not stand on chairs.

  • Do not attach decorations using tape, glue, staples, nails, or adhesives.

  • Do not leave chairs outside overnight. Instead, place them in a secure, covered area (such as a garage).

Wooden Arch

  • Do not drag or move the arch once installed.

  • If zip ties are used, please do not tighten them too tightly. The wood is delicate and excessive pressure may cause indentations or cuts on the frame.

  • Do not attach nails, screws, staples, or strong adhesives directly to the wood frame.

  • In case of rain, the arch must be covered immediately to protect the wood from moisture damage.

Seating Chart, Grass Walls, Floral Walls & TF Decor

  • Once installed, do not transfer or move. (Delicate/heavy equipment).

  • Do not remove, reposition, or peel off seating chart cards or wax seals.

  • Turn off LED (fake) candles when not in use.

  • If weather conditions become unsafe (rain or wind), please cover with a plastic bag.

  • Please leave TF. décor items as originally set up for Pick Up.

Table Setting TF Decor

  • Turn off LED (fake) candles when not in use.

  • Charger plates and cloth napkins are for decorative purposes only.

  • Please leave TF. décor items as originally set up.

 

Bar

  • Once installed, do not transfer or move. (Heavy equipment).

  • Protect the wood from liquids, spills, and moisture at all times.

  • Clean spills immediately using a soft damp cloth (no harsh chemicals).

  • Do not place hot or cold items directly on the surface.

  • Use liners, trays, rubber mats or protective materials when serving drinks or food.

  • Keep the bar clean and free from food, liquids, and residue.

  • Please leave the bar in the same condition and placement as originally set up.

Dance Floor

  • Keep the dance floor covered with a tarp when not actively in use to protect it from dirt, moisture, or debris.

  • Especially important for outdoor events.

  • Avoid direct and prolonged exposure to intense sunlight.

  • Clean any spills immediately, including water, soda, alcohol, or food.

  • Stains left unattended may cause permanent damage.

  • Gently sweep before and after use.

  • Do not drag tables, chairs, DJ equipment, speakers, or décor across the surface.

  • Lift items completely before moving them.

  • The dance floor must remain in the installed area.

  • It cannot be transferred to another location once set up.

  • No standing water, hoses, or pressure washing.

  • If rain is expected outdoors, it must remain covered.

  • No direct flame, sparklers, fireworks, bubbles, or hot wax allowed on the surface.

  • Avoid sharp metal heels or damaged heel tips that can dent or puncture the floor.

  • No nails, screws, or staking through the panels.

  • Do not apply tape, stickers, vinyl decals, or adhesive materials to the surface unless approved in advance.

  • The dance floor is designed for dancing only.

  • Vehicles, heavy staging, or large equipment are not permitted.

  • Excessive dirt, mud, gum, or damage may result in additional cleaning or repair fees.

Pop Up canopy

  • Do not hang heavy items or apply weight to the frame.

  • Do not move the canopy once it has been set up by our team.

  • Secure all legs properly at all times (weights/stakes must remain in place).

  • Do not use open flame or heat sources under or near the canopy.

  • In case of strong wind, rain, or unsafe weather, stop use immediately.

  • Do not leave canopy unattended during windy conditions.

  • Do not climb, hang, or place body weight on the canopy structure.

2. Pick Up Details

  • Rentals must be re-stacked, cleaned, and ready for pick-up as delivered (garage on the mat).

  • For heavy, delicate, or decorative equipment, please leave items as originally set up.

  • The customer must be present during the entire delivery and pick-up window.

 

3. Return Conditions

Items must be returned clean and in the same place and condition as delivered. Any damage, breakage, stains, missing items, or excessive dirtiness may result in repair or replacement charges according to our Terms & Conditions.
