Terms & Conditions

The Flawless Table & Co. | Event Rentals

Please read these Terms & Conditions carefully before completing your reservation.

1. Definitions & Rental Agreement

For the purposes of this Agreement:

  • The Flawless Table & Co. (TF) refers to the rental company, including its owners, officers, directors, and employees.

  • Customer refers to the individual or entity placing the rental order and accepting responsibility for the rental equipment, including the actions of guests, representatives, contractors, or other individuals acting on the Customer's behalf.

  • Rental Agreement refers to the accepted estimate or invoice, these Terms & Conditions, and any applicable equipment care or payment authorization documents.

  • Rental Center refers to TF's warehouse or other facility used to store, maintain, or transfer rental equipment.

By accepting the Rental Agreement, the Customer agrees to the following conditions.

2. Reservations, Payments & Rental Period

A 50% non-refundable deposit is required within 48 hours of finalizing the order and receiving the invoice. The remaining balance must be paid no later than 14 days before the event.

Orders finalized less than 14 days before the event require 100% payment upfront.

Rental equipment is reserved only after the required payment has been received.

Custom products or packages requiring fabrication or special preparation generally require at least 14 days' notice. Orders placed with less notice are subject to availability, additional rush fees, or cancellation of the custom portion if preparation cannot reasonably be completed.

Rental Period & Possession

  • Rentals are intended for a single event period, whether daily or hourly, as specified in the Rental Agreement.

  • The Customer's responsibility for rental equipment begins when the equipment is delivered and accepted by the Customer or an authorized representative, or otherwise transferred into the Customer's possession.

  • An individual designated to receive equipment on the Customer's behalf may acknowledge delivery. The Customer remains responsible for the equipment.

  • Late returns or unauthorized extensions may result in additional rental charges.

  • Any rental extension must be approved by TF in writing.

  • Ownership of all rental equipment remains with TF at all times.

  • TF may recover its equipment through lawful means when the rental period ends or the Rental Agreement is breached.

3. Cancellations & Refunds

  • Customers who cancel after payment of the deposit will forfeit that deposit, regardless of the reason for cancellation, subject to applicable law.

  • Adjustments to quantities or guest counts may be requested until 14 days before delivery, except for custom products. Changes are subject to availability, pricing, and TF's approval.

  • Adjustments cannot reduce the total invoice below the amount of the original non-refundable deposit.

  • Reserved items cannot be removed or exchanged without TF's approval. Removing items does not automatically entitle the Customer to a refund or credit.

  • Custom products, specialty linens, fresh florals, or items manufactured, purchased, or sub-rented specifically for an event are non-refundable once ordered or production has begun.

  • The entire rental amount is non-refundable within 14 days of the event, subject to applicable law.

  • Failure to receive or use the reserved equipment does not automatically entitle the Customer to a refund.

4. Date Changes & Rebooking

Date changes are generally treated as new reservations, and the original non-refundable deposit will be forfeited.

Exception: For date changes requested at least one year in advance and approved by TF, the original deposit may be transferred to the new date without forfeiture, subject to a 10% rebooking fee.

All date changes require written confirmation and are subject to equipment availability. TF cannot guarantee that the originally selected equipment will be available on the new date.

5. Special Pricing, Custom Designs & Holiday Bookings

Custom designs, holiday reservations, late-night services, and last-minute bookings may be subject to higher pricing based on availability, demand, preparation, and logistical requirements.

Holiday Booking Minimum: A minimum rental order of $400 applies to holiday reservations. This is a minimum booking amount, not an additional fee.

6. Delivery, Pickup & Additional Fees

Delivery Fees & Service Hours

Standard Service Hours: 9:00 AM–9:00 PM.

  • Delivery & Pickup Service: $40–$400, depending on distance.

  • Before-Hours Service: $25 for deliveries or pickups scheduled before 9:00 AM.

  • After-Hours Service: $40 for deliveries or pickups scheduled after 9:00 PM and before 12:00 AM.

  • Extended Service After Midnight: An additional $25 applies when after-hours service is extended past 12:00 AM, bringing the total after-hours fee to $65.

Delivery Requirements & Waiting Fees

Customers must ensure that an authorized person is available during the scheduled delivery window and that the equipment is accessible during pickup.

A 15-minute grace period is provided for delivery and pickup. After this period, waiting time is charged at $5 for every additional 5 minutes, equivalent to $60 per hour.

TF provides complimentary setup and dismantling for heavy or delicate equipment and table settings, as applicable to the rental order.

Curbside/Garage Delivery

Standard delivery includes ground-level placement on a flat, hard surface within 25 feet of the nearest loading area, free of steps and obstructions.

Equipment must be accessible and safely positioned for delivery and pickup.

Additional Labor & Delivery Charges

Additional charges may apply for:

  • Difficult Access: $25 for stairs, elevators, steep or uneven surfaces, mud, sand, standing water, or loose gravel.

  • Last-Minute or Rush Delivery/Pickup: $25.

  • Additional Labor: Up to $60 per hour when additional work is required beyond standard delivery or pickup services.

  • Requests for precise delivery or pickup times within a 15-minute window, subject to availability and confirmation.

  • Incorrect addresses, restricted access, or unexpected logistical requirements.

The difficult-access fee and additional labor charges are separate and may both apply when the circumstances require them.

Waiting time is charged only according to the waiting fee policy stated above.

Pickup Preparation & Cleaning Fees

All rental equipment must be cleaned, cleared of decorations and personal belongings, properly restacked, and ready for pickup at the designated curbside or garage location.

Equipment must be free of excessive dirt, dust, mud, food residue, and other marks.

Applicable fees include:

  • Chairs: $1 per item.

  • Tables: Cleaning fees starting at $15 per table.

  • Bouncy House: Cleaning fees starting at $30.

  • Backdrops: $25 per item.

  • Equipment Not Ready for Pickup: Fees starting at $15 per item.

  • Equipment Not Returned to the Designated Curbside/Garage Location: $10.

Additional labor or waiting fees may apply when equipment is not ready at the scheduled pickup time, according to the applicable policies above.

Large Order Logistics & Transportation Fee

Large-scale events requiring additional transportation, vehicle rentals, fuel, support staff, or complex setup logistics may incur a Logistics & Transportation Fee of $75–$700.

This fee is determined by order size, distance, and logistical complexity and will be confirmed before final booking.

7. Installation & Site Safety Conditions

TF reserves the right to refuse, modify, relocate, or discontinue delivery or installation when conditions present safety risks to guests, staff, property, or rental equipment.

Unsafe conditions may include severe weather, flooding, standing water, excessive mud, unstable ground, restricted access, or other hazards.

When reasonably safe, TF may offer an alternative installation location or curbside delivery.

Unsafe Site Conditions & Refunds

  • Unsafe site conditions do not create an exception to the cancellation and refund policy in Section 3.

  • Within 14 days of the event, the entire rental amount is non-refundable, including when unsafe site conditions prevent delivery or installation, subject to applicable law.

  • For circumstances occurring more than 14 days before the event, the applicable cancellation and refund provisions in Section 3 remain in effect.

  • Equipment safely delivered and left unattended at the Customer's request remains the Customer's responsibility while in the Customer's possession or control.

  • TF will determine whether installation conditions are reasonably safe and suitable.

  • Rental charges apply regardless of whether the Customer ultimately uses the equipment.

Ground Anchoring & Underground Utilities

Certain installations require stakes, anchors, or other ground-secured methods.

The Customer is responsible for identifying and disclosing known underground utilities, irrigation systems, water lines, gas lines, electrical lines, communication cables, septic systems, and other underground structures.

The Customer must obtain any necessary approvals, utility markings, or venue authorization before installation.

The Customer is responsible for damage arising from inaccurate or undisclosed underground utility information to the extent permitted by law. TF remains responsible for its own legally attributable negligence or misconduct.

8. Equipment Care, Loss & Damage

The Customer is responsible for the proper use, care, and protection of all rental equipment throughout the rental period.

All rental equipment must be handled, cleaned, protected, and prepared for pickup according to TF's Equipment Care Guide.

Please carefully review our Complete Equipment Care Guide for detailed instructions on proper equipment use, care, cleaning, damage prevention, and pickup preparation.

  • Equipment must not be dragged, altered, dismantled, or transported without TF's authorization.

  • Equipment must be protected from rain, excessive moisture, mud, misuse, and other avoidable damage.

  • The Customer is responsible for damage, loss, or missing equipment occurring while the equipment is in the Customer's possession or control, except to the extent caused by TF's own acts or omissions or otherwise required by law.

  • Applicable charges may include reasonable cleaning, repair, replacement, labor, and related shipping or transportation costs.

  • Broken items must be returned with their damaged components.

  • Items not returned at the end of the agreed rental period may be subject to additional rental or replacement charges.

Equipment Inspection & Additional Charges

TF has seven (7) calendar days beginning on the date it regains possession of all rental equipment to inspect the items, document any damage or missing equipment, assess applicable fees, and process authorized additional charges.

This seven-day period does not begin when the event ends or when only part of the rental equipment has been recovered.

Applicable additional charges may include cleaning, damage, repair, replacement, missing items, waiting time, or other fees permitted under these Terms & Conditions and the signed Credit Card Authorization Form.

TF does not offer damage waiver or damage protection coverage.

9. Product Expectations, Designs & Substitutions

Floral arrangements, balloon designs, and custom decorative installations are artistic services. Inspiration photographs are references and cannot be expected to be replicated exactly.

Design elements are subject to availability. TF may substitute an unavailable or unsuitable item with a reasonably comparable alternative when necessary.

TF is not responsible for damage to floral or balloon designs resulting from improper handling or conditions after delivery and transfer of care to the Customer.

10. Credit Card Authorization & Payments

The Flawless Table & Co. (TF) requires a valid card on file to secure reservations, process scheduled payments, and cover applicable additional charges related to the Rental Agreement.

The Customer must complete the separate Credit Card Authorization Form, which explains the purpose of keeping a card on file, the types of authorized charges, and the authorization period.

The authorization for applicable additional charges remains valid for seven (7) calendar days beginning on the date TF regains possession of all rental equipment, as specified in the signed Credit Card Authorization Form.

All card charges will be processed in accordance with the signed Credit Card Authorization Form, these Terms & Conditions, and applicable law.

The Customer is responsible for maintaining a valid payment method and ensuring that all scheduled payments are completed on time.

11. Assumption of Risk, Liability & Indemnification

The Customer acknowledges that the use, handling, and operation of rental equipment may involve risks of personal injury, property damage, or other losses.

The Customer agrees to take reasonable precautions, follow equipment instructions, and protect guests, staff, and property from avoidable hazards.

To the extent permitted by Texas law, the Customer agrees to indemnify and hold TF harmless from third-party claims, damages, and reasonable expenses arising from the Customer's negligent acts, misuse of rental equipment, or breach of this Agreement.

This provision does not require the Customer to indemnify TF for TF's own negligence or misconduct.

12. Right to Refuse Service

TF reserves the right to decline bookings, refuse unsafe installations, cancel orders, or discontinue services when reasonably necessary due to safety concerns, payment issues, scheduling conflicts, operational limitations, or violations of this Agreement.

Applicable refunds or outstanding obligations will be determined under the relevant provisions of this Agreement and applicable law.

13. Force Majeure & Events Beyond Reasonable Control

TF is not responsible for delays or inability to perform caused by circumstances beyond its reasonable control, including severe weather, natural disasters, emergencies, governmental restrictions, or other extraordinary events.

TF will make reasonable efforts to communicate available alternatives when circumstances permit.

Any applicable refund, credit, or rescheduling arrangement will depend on the circumstances, services already performed, costs incurred, the applicable cancellation provisions, and applicable law.

14. Discounts, Venue Rules & Local Regulations

TF may offer discounts at its discretion. Discounts may be withdrawn if the Customer fails to meet the conditions under which they were granted.

The Customer must provide TF with all applicable venue rules, restrictions, access requirements, and installation limitations before delivery.

The Customer is responsible for fines or additional costs caused by failure to disclose applicable requirements, except to the extent caused by TF.

15. Legal Fees, Governing Law & Disputes

This Agreement is governed by the laws of the State of Texas.

To the extent permitted by law, disputes arising from this Agreement shall be brought before a court of competent jurisdiction in Guadalupe County, Texas.

Court costs, collection expenses, and reasonable attorney's fees may be recovered to the extent authorized by applicable law or an enforceable contractual provision.

TF may pursue lawful remedies for unpaid balances, damaged equipment, or breach of this Agreement.

16. Electronic Acceptance & General Provisions

The Rental Agreement may be accepted electronically, including through online forms, email, or other electronic communications.

Signing the Rental Agreement or electronically accepting its terms establishes the Customer's agreement. Payment or acceptance of delivery may also serve as evidence of agreement where permitted by law.

A person designated to receive equipment on the Customer's behalf may acknowledge delivery. The Customer remains responsible for the equipment under this Agreement.

If any provision is determined to be unenforceable, the remaining provisions will continue in effect to the extent permitted by law.

The Customer must sign and accept these Terms & Conditions at least 14 days before the event as a requirement for equipment delivery.
